Decimal and Comma Separators, Number of Decimals

  • The decimal separator and comma separator are used to format and interpret numeric values.

Decimal Separator

  • The decimal separator is used to separate the whole number part from the fractional part of a number.
  • Example:
    • In many countries, the decimal separator is a period (.) — e.g., 10.99
    • In several other countries, a comma (,) is used — e.g., 10,99

 

Digital Group Separators

Comma Separator

  • The comma separator is used to separate thousands, millions, and larger numeric groups.
  • Examples:
    • 1,000 represents one thousand.
    • 1,000,000 represents one million.
  • In some countries using the comma-period format, the dot/period is used as the thousands separator:
    • 1.000 represents one thousand.
    • 1.000.000 represents one million.

Modifying Initially Established Formats

  • During registration, SalesPlay allows users to input the country name where the system is set up.
  • The system will automatically set decimal and comma separators, along with the preferred number of decimals.

Overview

 

  • Adding tips for credit card payments is an important feature in a POS system that enhances customer experience and increases business revenue.
  • SalesPlay POS allows you to add tips for card payments using supported gateways such as Wallee and PAX.

Step 1: Enable Card Payment Gateway

Step 2: Open Past Receipts

  • Open the SalesPlay POS App.
  • Go to Main Menu → Manage Sales.
  • Select Past Receipts.

Step 3: Select the Receipt

  • Select the completed transaction where you want to add a tip.
  • Tap the three-dot (⋮) menu in the top right corner.

1. SalesPlay Fully & Partial Credit Settlement

  • SalesPlay POS system allows you to settle a customer’s total credit outstanding at once. This feature allows businesses to manage their customer’s credit accounts more efficiently and accurately.
  • The user can select the customer and then open the customer profile, then the user can either select all credit receipts or multiple receipts for the bulk credit settlement.

2. POS App main menu > Select “New Sale” > Click the “Customer” icon

3. Select the customer and go to the profile section > Click on the “ADD TO RECEIPT” section

4. Click on the “Settle Outstanding” section

5. Select the “Payment Type” > Click the “SETTLE” button

6. Click the “Continue” button

1. How to Reserve Tables or Rooms & Assign Staff

The “Table” function allows staff to assign orders to specific tables or rooms.

This is useful for businesses offering table or room service, helping track which table/room ordered which items and ensuring correct delivery.

Users can start a bill via the new Table Layout. Example: In a restaurant, customers dine at a table; staff select the table layout and update it as new items are ordered.

2. Create a New Table via Back Office

Steps:

  1. Login to POS Back Office Webportal
  2. Select “Settings” from the main menu
  3. Go to “Feature”
  4. Turn ON “Reservations”
  5. Click “Save”

Once Reservations is ON, “Table / Room” appears as a sub-menu in Settings.

3. Add Table / Room

  1. Select “Table / Room”
  2. Click “Add Table / Room”

4. Enter Table Details

  1. Enter name and type
  2. Click ‘Save’

Saved tables appear in POS App under the “Table” icon.

5. Table Status & New Layout

The table status colors:

  • White – Available
  • Red – Occupied
  • Yellow – Reserved

Users can add multiple tables while billing, assign orders by selecting table number/name, view orders per table, and settle bills individually or generate a pre-bill.

6. Reserve Tables/Rooms

  • Select the product(s)
  • Click the three-dot button in the top-right corner
  • Select ‘Table / Room’

7. Select Available Tables / Rooms

  • View available tables/rooms
  • Select required table(s)
  • Selected table turns orange
  • Save changes

8. Click ‘Reserve’

  • Click ‘Reserve’

9. Save Bill with Description

  • Save the bill with a description if needed

10. Assign Staff to Tables / Rooms & Update Receipts

  • To update receipts (add products):
    • Click the three-dot button
    • Select ‘Tables / Rooms’
    • Select the reserved table (red) to update

11. Assign Staff to Tables / Rooms

Special Note

  • To calculate sales commission, first create the receipt(s) and assign employee(s) to the receipt(s).
  • To assign staff, click the three-dot button in the top-right corner in POS App → Select ‘Assign employee’ → Choose employee name.

Sales Commission

  • Sales commission rewards an employee/staff with a percentage of the sales they generate. Common in restaurants, textile stores, salons, and service-based businesses.
  • Each employee/staff is assigned a unique code or name. The system tracks sales and calculates commission based on the agreed percentage or number of receipts.
  • Commission motivates employees to increase sales and rewards top performers, helping retain talent.

Calculate Sales Commission via Back Office

Sales commission can be calculated via the Back Office web portal based on percentage or number of receipts. Reports can be downloaded as PDF or printed.

1. Login to POS Back Office → Select “Users” → Go to “Staff Commissions”

2. Click the “Calculate Sales Commissions” button

3. Enter commission name and select shops → Select “commission method” (Total or Count)

4. Select the employee(s)

5. Enter the “commission rate” → Click “add” (+) → Click “Save”

6. Once calculated, get a printout or download the PDF via the three-dot button

In this guide, you will learn how to create and use credit notes to facilitate product exchanges in SalesPlay POS.

What Is a Credit Note?

In a POS system, a Credit Note is a document generated to record the value of goods returned by a customer. It serves as a credit to the customer’s account, allowing them to use the credited amount for future purchases. Its purpose is to acknowledge returns and facilitate smooth exchanges or refunds.

  • Exchanges are performed based on business policies. Some stores may not allow exchanges.
  • If the customer has no receipt, gather product details, purchase date, and customer info to locate the original receipt.
  • To exchange an item, create a Credit Note first, give it to the customer, then apply it as a payment method during the new sale.
  • The Credit Note option must be activated via Back Office first.

Step By Step Process to Create and Use Credit Notes

Example: John bought a pair of shoes but needed a different size. The sales staff used the POS system to create a credit note for the returned shoes, providing John with a printed copy. John then selected the correct size, and the staff used the credit note as a payment method during the new transaction.

Steps:

  1. POS App main menu → Select Manage Sales
  2. Click Past Receipts
  3. Select the relevant receipt (via calendar or search)
  4. Click the receipt → Click Refund button
  5. Select the item(s) for exchange → Click CREDIT NOTE

A Credit Note will be printed with a unique ID.

Print, Send, or Share the Credit Note

This allows the customer to present the credit note at the billing counter for the exchange.

Proceed with the New Sale

The cashier creates a new transaction for the exchange, adding the new items to the bill. During billing, select Credit Note as the payment method and enter the Credit Note ID from the printed receipt.

  1. POS App main menu → Select New Sale
  2. Add new items → Click Charge
  3. In Payment Interface, select Credit Note as payment type
  4. Enter the Credit Note ID (from the printed receipt)
  5. Click OK and complete the transaction

Some businesses accept payments in multiple currencies from customers. SalesPlay POS supports Alternative Currency to make this process simple, accurate, and efficient.

 

 

Improved Alternative Currency Handling (Update 115.5)

With the 115.5 update, the Alternative Currency interface has been improved for better usability and faster checkout.

What’s New

  • New placement: Alternative currencies now appear on the left-hand side of the payment screen (previously on the right) for easier access.
  • Enhanced visuals: Currency symbols are more visible, and the interface now displays alternative currency notes and suggested settlement values to speed up transactions.

 

What Is Alternative Currency?

Alternative Currency allows businesses to accept payments in currencies other than their primary (default) currency. This feature is ideal for businesses that serve international or foreign customers.

Example:
A shop located at an airport may primarily operate in USD but also accept INR (Indian Rupees) or other foreign currencies.

To use this feature, businesses must set up currency conversion rates in the POS system and manually update them whenever exchange rates change.

Once enabled, alternative currencies will appear in the Payment Interface during checkout.

 

 

 

Enable Alternative Currency (Step-by-Step)

Step 1–5: Enable the Feature

  • Log in to the POS Back Office Web Portal
  • Select Settings from the main menu
  • Go to Feature
  • Turn ON the Alternative Currency option
  • Click Save
Info: Once enabled, Alternative Currency will appear as a sub-menu under the Settings section.

Add an Alternative Currency

Step 6–10: Add Currency Details

  • Select Alternative Currency from the Settings menu
  • Click Add Alternative Currency
  • Enter the Currency Code and Conversion Value
  • Turn Status ON
  • Click Save

Once added, the alternative currency will sync to the POS App and appear in the Payment Interface as a dropdown near the Amount Due section.

Get Pre-Bills in Alternative Currencies

SalesPlay POS allows you to generate Pre-Bills using alternative currencies such as Euros, Dollars, Yen, and more. This feature is especially useful for businesses located in tourist areas.

How to Print a Pre-Bill in an Alternative Currency

  • Open the POS App main menu
  • Select New Sale
  • Click Open Orders
  • Select an order and tap the Print icon
  • Choose the required currency from the dropdown
  • Click Print

Once printed, the Pre-Bill will display the selected alternative currency.

Special Note: This option is available at all locations where the Pre-Bill feature is enabled, offering greater flexibility for international customers.

How to Change Alternative Currency Conversion Rates

Exchange rates change frequently. If you use alternative currencies, you must manually update conversion rates in the system.

Steps to Update Conversion Rates

  • Log in to the POS Back Office Web Portal
  • Select Settings from the main menu
  • Go to Alternative Currency
  • Select the relevant currency
  • Enter the new Conversion Value
  • Turn Status ON
  • Click Update

Once updated, the new rate will sync to the POS App and appear in the Payment Interface near the Amount Due section.

Important: An active internet connection is required on the POS device to receive updated currency rates.

Delete Receipts in SalesPlay

SalesPlay allows you to delete receipts when billing mistakes occur. To delete a receipt, you must have the Admin Password and the required user approval level.

Method 1: Delete Receipts via POS App

Step 1

Open the POS App main menu, go to Manage Sales, and select Receipts.

Step 2

Find the required receipt using Search or the Calendar, then tap on the receipt.

Step 3

Tap the three-dot menu in the top-right corner and select Delete.

Step 4

Enter the Admin Password and confirm the deletion.

Deleted Receipts Report

A separate report for deleted receipts is available in the Back Office Web Portal under Advanced Sales Reports as Deleted Receipts.

Method 2: Delete Multiple Receipts via Back Office

Step 1

Log in to the SalesPlay POS Back Office.

Step 2

From the main menu, select Reports, then go to Receipts.

Step 3

Search for the relevant receipt using Search or the Calendar, then click Delete Multiple Receipts.

Step 4

Select the correct Shop, tick one or more receipts, enter the Back Office password, and click Delete.

Important Note

Once receipts are deleted, they will be permanently removed from both the POS App and the Back Office.

SalesPlay POS allows you to download and digitally share receipts with ease. This is a completely paperless process, so no printed copies are required.

Receipts can be shared using the customer’s email address or phone number.

Supported sharing platforms include:

  • Email
  • SMS
  • WhatsApp
  • Viber
  • Messenger
  • Telegram

This provides a convenient and eco-friendly way to distribute receipts.

Steps to Download Receipts

Step 1: Create a Sale

  • Open the SalesPlay POS App and go to the main menu.

  • Select New Sale to start a transaction.

  • Add the required items to the cart.

  • Tap the Charge button to proceed.

 

Step 2: Access the Share Option

  • After tapping Charge, the Payment Interface will appear.

  • Locate the Share icon (three connected dots).

  • Tap the Share icon to continue.

 

Step 3: Download the Receipt

  • Select the PDF option from the sharing menu.

  • Tap the Download button below the PDF option.
