Enabling Barcode-Based Customer Registration

SalesPlay allows businesses to register customers using internal barcodes, simplifying checkout and tracking.

Steps to Enable the Internal Barcode Feature:

  1. Open the POS App and go to the Main Menu.
  2. Tap Settings.
  3. Navigate to Software Customization.
  4. Check the box for Internal Barcode to enable it.

Note: Once enabled, a barcode icon will appear in the customer registration interface.


Adding a Barcode to a Customer Profile

  1. In the POS App, go to the Main Menu and select New Sale.
  2. Tap the Customer icon in the upper-right corner.
  3. Select Add New Customer.
  4. Scroll down and tap the Barcode icon next to the Customer Code field.
  5. Tap Save to complete the registration.

Overview

The Debtor Management (Credit Invoice) feature in SalesPlay POS allows businesses to enforce credit limits for customers.
With this feature activated, the system prevents customers from exceeding their assigned credit limits, providing better financial control and minimizing the risk of unpaid debts.

Benefits of Enforcing Credit Limits

  • Prevents Credit Overuse: Customers cannot exceed their pre-set credit limits.
  • Improves Cash Flow Management: Helps maintain financial stability for the business.
  • Reduces Risk of Non-Payment: Ensures transactions stay within manageable credit limits.

How to Set a Credit Limit for Customers

Follow these steps in the SalesPlay Backoffice Web Portal to configure credit limits:

  1. Log in to the SalesPlay Backoffice Web Portal.
  2. Click on the Main Menu and select Customer.
  3. Navigate to Customer Base.
  4. Choose an existing customer or click Add Customer to create a new one.
  5. Click Edit Profile for the selected customer.
  6. Under Additional Information, tick the box labeled Credit Customer.
  7. Enter the allowed credit amount under Credit Customer Information.
  8. Tick Validated Credit Customer to activate credit limit enforcement.
  9. Click Update or Save to apply the changes.

Important Notes

  • This configuration must be done through the Backoffice Web Portal.
  • The credit limit cannot be adjusted using the POS App Customer Registration or Customer Edit functions.
  • If a credit limit (e.g., $1,000) is set but ‘Validated Credit Customer’ is OFF, the system will allow the customer to exceed this limit. In this case, the credit limit is only for recording purposes and not enforced.
  • To prevent over-credit purchases, you must tick the ‘Validated Credit Customer’ checkbox.

Practical Example

Scenario: A retail store allows customers to buy items on credit. Customer ABC Traders has a credit limit of $1,000.

  1. The store owner logs into the SalesPlay Backoffice Web Portal.
  2. Selects ABC Traders from the customer list and enables Credit Customer.
  3. Sets a credit limit of $1,000 and marks them as a Validated Credit Customer.
  4. Later, if ABC Traders tries to make a purchase exceeding $1,000, the system automatically restricts the transaction.
  5. The customer must either pay the outstanding balance or reduce their purchase amount to proceed.

Overview

The Print QR for Customer feature allows businesses to share relevant information with customers through QR codes. This enhances customer experience and interaction by providing a quick, scannable way to access receipts or other content.

When a transaction is completed in the POS system, a unique QR code is automatically printed on the customer’s receipt. The QR code contains encoded information that can be scanned using a smartphone or QR code reader app.

QR Code Modes

  1. Receipt URL:
    Generates a QR code that directs the customer to an online platform to view their digital receipt.
  2. Customized URL:
    Allows businesses to provide tailored content beyond the receipt. Examples include:

    • Marketing campaigns
    • Social media links
    • Special promotions
    • Loyalty programs
    • Customer surveys

Steps to Enable “Print QR For Customer” on Receipts

  1. Log in to the POS Back Office Web Portal.
  2. Select Settings from the main menu.
  3. Go to Design Receipt.
  4. Click the More button near “Design Receipt.”
  5. Select Print QR and tick the checkbox to enable it.
  6. Click Change and choose one of the following:
    • Receipt URL
    • Receipt Number
    • Customized URL
  7. Click Save.
  8. Click Update to activate the feature.

Once activated, the feature is available in the POS App. When generating a bill, select a customer, and the customer’s QR code will be printed on the receipt automatically.

Estimation Module Overview

The Estimation Module in SalesPlay helps streamline business operations while improving transparency and professionalism when interacting with customers.
An estimate outlines projected costs for goods or services, giving customers a clear understanding of pricing before they commit.

Example:

Imagine you’re a mobile phone retailer, and a customer wants to purchase 10 smartphones. Using SalesPlay Back Office, you can quickly generate a professional estimate listing:

  • Product names
  • Quantities
  • Unit prices
  • Total cost

This ensures clarity for the customer, boosts credibility, and speeds up their decision-making process.


How to Create and Send an Estimate

  1. Log in to the SalesPlay Back Office web portal.
  2. Go to Settings → Features and enable Estimation, then click Save.
  3. From the main menu, go to the Customer section and navigate to Estimate.
  4. Click the Create Estimate icon.
  5. Choose the customer and shop, then enter the estimate validity period and any comments.
  6. Select the product(s) and enter the quantity.
  7. Click Save to create the estimate.
  8. After saving, click the Send icon to email the estimate directly to the customer.

How to Accept or Reject an Existing Estimate

  1. Log in to the SalesPlay Back Office web portal.
  2. From the main menu, select the Customer section.
  3. Click the Estimate tab to view all previously created estimates.
  4. Find and click the estimate you want to review.
  5. Click the three-dot menu next to the Send icon.
  6. Select either Accept or Reject, then confirm your action.
