Step-by-step

In some cases, SalesPlay POS users report issues such as:

  • POS not syncing data with the back office
  • POS data not uploading to the back office
  • Changes made in the back office not appearing on the POS
  • KOTs (Kitchen Order Tickets) not reaching the kitchen printer
  • Tablet orders not syncing between tablets

While these problems may appear to be software or internet issues, they are sometimes caused by damaged network cables used in the POS setup.

Why Network Cables Matter

Many devices in your POS environment communicate through Ethernet network cables, including:

  • KOT / BOT printers
  • Receipt printers
  • Routers and switches
  • POS terminals

If the network cable connecting these devices is damaged, communication between devices may fail or become unstable.

Inside a Network Cable

A standard Ethernet cable (such as Cat5e or Cat6) contains:

  • 8 small copper wires
  • These wires are arranged as 4 twisted pairs

These wires work together to send and receive data between devices. They do not function as separate “upload” or “download” cables; instead, the pairs carry data both directions depending on the network technology.

Common Causes of Network Cable Damage

The small copper wires inside a network cable can become damaged due to several reasons:

  • Rat or rodent bites
  • Cable being crushed by heavy objects
  • Frequent bending or pulling
  • Improper cable installation
  • Environmental damage

When these internal wires are damaged, the cable may still appear normal from the outside but data transmission becomes unstable or slow.

Signs of a Damaged Network Cable

You may experience the following symptoms:

  • POS fails to sync with the back office
  • Orders do not reach the kitchen printer
  • Tablets do not sync orders with each other
  • Devices disconnect randomly from the network
  • Slow communication between POS devices

What You Should Check

If you experience any of the issues above, check the following:

  1. Check Internet Speed

Ensure your internet service provider is delivering the expected download and upload speed.

  1. Test the Network Cable

Even if your internet speed is good, your device may not receive the full speed due to a damaged network cable.

  1. Inspect Physical Cable Condition

Look for:

  • Visible cuts or bends in the cable
  • Loose connectors
  • Damaged RJ45 heads
  • Signs of rodent damage
  1. Replace the Cable

If you suspect damage, replace the network cable with a new one and test the system again.

To maintain a stable POS environment:

  • Use high-quality Cat5e or Cat6 cables

Why Integrate Xero with SalesPlay POS?

  • Integration provides a comprehensive and streamlined solution for managing financial operations directly from your POS system.

1. Login to POS Back Office

  1. Select Settings from the main menu.
  2. Go to Feature.
  3. Tick Xero Integration.
  4. Click Save.

Note: Once enabled, Xero Integration will appear as a sub-menu under Settings.

2. Select XERO from Settings and Click “GET STARTED WITH XERO”

3. Register or Sign in to Your Xero Account

  1. Visit https://developer.xero.com/
  2. Click Login and log in to your Xero developer account.
  3. Click New App.

4. Provide Required Details

  1. Enter the Shop Name.
  2. Select Web App as the integration type.
  3. Add your company website.
  4. Add Redirect URI (copy from the Back Office Xero section).
  5. Agree to Terms & Conditions and click Create App.

5. Configuration

  1. Click the Configuration tab in developer.xero.
  2. Copy the Client ID and save it in a secure document.
  3. Click Generate a Secret.
  4. Copy Client Secret 1 and save it securely.

6. Click “CONNECT XERO” in Back Office

  1. Enter the Client ID (from your saved document).
  2. Enter the Client Secret.
  3. Enter the Transaction Scheduled Time.
  4. Ensure Is Enable is ticked ON.
  5. Click Save.
  6. Click Allow Access.

Once completed, a message will appear: “Integration setup completed”.

How to Change the Receipt Printing Language

Follow these steps to change the receipt or bill printing language in SalesPlay POS:

  1. Open the POS App main menu.
  2. Select Settings.
  3. Select Printers.
  4. Click the Add (+) button.
  5. Select printer type as Receipts.
  6. Select a printer model. If your brand/model is not listed, choose Other Model.
  7. Select the connection mode and configure other required settings.
  8. Select the paper size.
  9. Click Advanced Settings.
  10. Select printer mode as Graphic Enhanced.
  11. Click Save.

After saving, perform a test print to ensure the settings are correct.
Tip: Use the “Graphic Enhanced” mode for printing in other languages. If issues occur, try switching to Graphic Legacy mode.

Changing the POS App UI Language

The POS App UI language can be set by changing your device’s language. SalesPlay POS supports 16 UI languages:

  • English, Chinese, Hindi, Arabic, French, Spanish, Russian, Japanese, Filipino, German, Italian, Khmer, Swedish, Turkish, Malay, Thai

If a language is not listed, English will be used by default.
Example: To change the UI to French, set the device language to French in your POS terminal settings.

SalesPlay Open Bill Sync Option

The Hold Receipt Sync function allows hold receipts to be synced across multiple POS terminals within the same business location.

  • For example, in a restaurant with multiple POS terminals, staff can edit or complete already-held receipts from any terminal.
  • If your business location has more than one POS terminal, the Hold Receipt Sync option is automatically activated.
  • All hold receipts, including Customer Orders, Reservations, and Table Reservations, will sync automatically across terminals.
    • Example: In a restaurant with 3 POS terminals, when a cashier opens a receipt for a customer, the hold receipt will be synced to the other two POS terminals.

Access Open Bills from POS App

  1. Open the POS App main menu and select New Sale.
  2. Click on Open Bills.
  3. You will see all hold receipts from other terminals within the same location.

What is the SalesPlay Tablet Ordering App?

The SalesPlay POS Tablet Ordering App is a user-friendly digital solution designed to streamline the order-taking process using a tablet. Ideal for restaurants, cafés, and other service-based businesses, the app allows employees—such as waiters or stewards—to take customer orders and send them directly to the POS system, Kitchen Order Ticket (KOT) printers, or KOT display screens.

This functionality helps improve service speed, reduce manual errors, and enhance the overall customer experience.

How to Enable Tablet Ordering

There are two ways to enable Tablet Ordering in your SalesPlay system:

  1. Create a new POS and convert it into a Tablet Ordering device
  2. Convert an existing POS device

1. Create a New POS and Convert It into a Tablet Ordering Device

Step 1: Add a New POS Device

  1. Log in to the Back Office Web Portal.
  2. Navigate to Settings → Shops → POS Devices.
  3. Click on the Add POS button.
  4. Enter a name for your tablet ordering terminal (e.g., Tab_01 or Tab_2).
  5. Select the shop where the tablet will be used.
  6. Click Save.

Step 2: Activate the Tablet Device

  1. Download and open the SalesPlay POS app on your tablet.
  2. Tap Sign In and enter your registered email and password.
  3. Select the POS name and license key associated with the new tablet.
  4. Tap Proceed to complete the setup.

Step 3: Convert an Existing POS into a Tablet

  1. Log in to the Back Office Web Portal.
  2. Go to Settings → Addon Apps → Tab Ordering.
  3. Click on the Convert to Tablet Ordering icon.
  4. Select the appropriate Shop and License Key from the dropdown menus.
  5. Click Save.

Confirmation: A message will appear saying: “This device has been converted to the Tablet Ordering.”

2. Convert an Existing POS Device to Tablet Ordering

If you’ve already created a POS terminal, you can easily convert it into a Tablet Ordering Device through the SalesPlay Back Office.

Steps to Convert:

  1. Log in to the Back Office Web Portal.
  2. Navigate to Settings → Addon Apps → Tablet Ordering.
  3. Click on Convert to Tablet Ordering.
  4. Select the relevant Shop and License Key from the dropdown menus.
  5. Click Save.

Confirmation: “This device has been converted to the tablet ordering.” Your existing POS device is now ready as a Tablet Ordering terminal.

How to Convert the Tablet Ordering App Back into a POS App

If needed, you can revert a Tablet Ordering Device back into a standard POS terminal through the SalesPlay Back Office.

Steps to Convert:

  1. Log in to the Back Office Web Portal.
  2. Go to Settings → Addon Apps → Tablet Ordering.
  3. Click on the terminal you want to convert.
  4. Click the Delete (trash bin) icon to remove the tablet ordering configuration.
  5. Confirm the action when prompted.

Confirmation: “This device has been converted to the POS.” Your device is now restored as a regular POS terminal.

Setup Steps

Step 1: Install & Open SalesPlay KOT/BOT Display

  • Install the app from Google Play Store: Link

Step 2: Note Down the IP Address of the Device

  • Record the IP address; it will be required later.

Step 3: Enable Addon Apps

  • Go to Back Office → Main Menu → Settings → Enable “Addon apps” → Click Save.
  • After enabling, “Addon apps” will appear under Features in settings.

Step 4: Register Your Device in Back Office

  • Navigate to Features → Addon apps → KOT/BOT devices → Click “REGISTER NEW”.

Step 5: Fill in Required Information

  • Provide the required details to register the new device and save.

Step 6: Get the Verification Code

  • After saving the device info, a verification code will be generated. Note it down carefully.

Step 7: Enter Verification Code in KOT Device

  • Input the verification code into your KOT device to link it with the POS system.

Step 8: Confirm Verification Code

  • Ensure the verification code is successfully accepted and the device is registered.

Step 9: Add KOT Groups

  • Set up KOT groups to organize orders efficiently for kitchen and bar staff.

Step 10: KOT Overview

  • Review the overview screen to ensure all orders display correctly and groups are set up as required.

  • You can set up multiple KOT/BOT printers in your POS system.
  • If your business has multiple POS terminals, it is recommended to use more than one KOT printer.
  • Example: A restaurant can have one KOT printer in the main kitchen and another in the bar area.
  • Create “KOT Groups” via the Back Office to organize your order items correctly.
  • For food items, create a KOT Group named “Foods” and attach all food items.
  • For drinks, create a KOT Group named “Drinks” for liquor and soft drinks.
  • When setting up the KOT printer on the POS app, ensure you select the correct KOT Group for accurate printing.


Step 2: Login to Back Office

  1. Log in to your SalesPlay Back Office.
  2. Select “Settings” from the main menu.
  3. Click the “Addon Apps” section.
  4. Select the “KOT/BOT Groups” tab.


Step 3: Create a New KOT Group

  1. Click the “New Group” icon.
  2. Provide a group name (e.g., Foods or Drinks).
  3. Click Save.


Step 4: Attach Products to KOT Group

  1. Select the newly created group.
  2. Click the “Attach” button.


Step 5: Assign Categories or Products

  1. Tick the categories or products to add them to the KOT/BOT group.
  2. Click Save.

Step 7: POS App – KOT Printer Setup

  1. Open the POS App main menu.
  2. Select SettingsPrinters.
  3. Click Add New (+).


Step 8: Configure Printer Details

  1. Enter a Printer Name.
  2. Select other printer details (type, connection, etc.).


Step 9: Enable KOT/BOT Printing

  1. Tick “Print KOT/BOT”.
  2. Select the correct Printer Groups.
  3. Click Save.


Step 10: Create a Sale and Generate KOT

  1. Click New Sale.
  2. Select the products.
  3. Click Save.


Step 11: Add Description and Print KOT

  1. After saving, the Kitchen Order Ticket appears.
  2. Add a description if needed.
  3. Click Create.


Step 12: Kitchen Receipt

The KOT will print in the kitchen with assigned items and table details.


Step 13: Large KOT Number and Table Number

  1. Log in to POS Back Office → Select Settings.
  2. Navigate to Software Setup.
  3. Tick “Styled KOT Print” and click Update.

Once enabled, KOT numbers, Table Numbers, Item Names, and Customer Names will appear in larger font size for easy visibility.


Step 14: Reset KOT Number Sequence

SalesPlay POS allows resetting KOT numbers based on shifts:

  1. Open POS App Main MenuManage SaleCash ManagementShift End.
  2. Tick “Reset KOT number sequence”.
  3. Click Run Shift End ProcessComplete.

The KOT sequence will reset at the start of the next shift.
Note: Ensure the Shift function is activated in Back Office.
