The SalesPlay POS system has an important feature called “Number of Pax”, which allows businesses to assign a maximum number of persons (pax) to a service area or table. This feature helps business owners track customer visits and service efficiency.

Practical Example:

For example, if a waiter assigns a table for four guests, the Kitchen Order Ticket (KOT) will display the pax count as “4.” This allows the kitchen and service staff to prepare the exact number of plates, glasses, spoons, forks, and knives required, ensuring a seamless dining experience. This feature reduces errors, speeds up service, and improves restaurant efficiency.


Step 1: Enable the “Service Areas” Feature

Before using the “Number of Pax” feature, you need to enable “Service Areas” in the Back Office Web Portal.

  1. Log in to the POS Back Office Web Portal.
  2. Select Settings from the main menu.
  3. Navigate to the Feature section.
  4. Tick the “Service Areas” checkbox.
  5. Click Save.
  6. Once enabled, the “Service Areas” option will appear as a sub-menu under Settings.

Step 2: Setup Standard Table Layout and Assign Maximum Pax

  1. Log in to the POS Back Office Web Portal.
  2. Select Settings from the main menu.
  3. Click on the Service Areas section.
  4. Select Add Service Area.
  5. Enter a name for the table, room, or service area.
  6. Assign a section or leave it as N/A.
  7. Add the maximum number of pax (persons allowed at the table).
  8. Click Save. The setup will sync with the POS App automatically.

Step 3: Using the “Number of Pax” Feature in the POS App

  1. Open the SalesPlay POS App.
  2. On the main interface, locate the Table icon in the top-right corner.
  3. Click the Table icon to view all available tables with their respective pax limits.
  4. Select the table where the customers will be seated.
  5. Enter the number of persons (pax) sitting at the table.
  6. Proceed with the order.

Step 4: Kitchen Order Ticket (KOT) Integration

If your POS system is set up with Kitchen Order Tickets (KOT), the “Number of Pax” information will be displayed on the KOT. This helps the kitchen and waitstaff prepare the correct number of plates, glasses, cutlery, and other dining essentials for the guests.

Why This Feature is Important

The “Number of Pax” feature enhances restaurant efficiency by ensuring the correct number of dining essentials is prepared for each table. Accurate guest counts help staff provide better service, reduce waste, and improve customer satisfaction. Business owners also gain valuable insights into table occupancy and guest trends for better resource allocation.


Special Notes

  • The “Number of Pax” feature currently works only with the Standard Table Layout.
  • It is not compatible with the Graphical Table Layout at this time.

The SalesPlay POS system offers a feature that allows businesses, especially in salons, beauty, and service industries, to manage customer reservations, bookings, or appointments effectively. This function can handle customer inquiries for booking services via phone or other modes of communication.

For example, in a salon, customers can inquire and reserve time slots with their preferred hairdresser, makeup artist, or therapist.

Why is this Feature Important?

This feature is particularly useful for businesses that operate by appointment or reservation, such as salons, spas, and other service-based industries. Customers often call to check availability and book appointments with specific staff members, making this functionality essential for smooth operations.


Step 1: Activate the “Service Areas” Option in Back Office

To begin using the reservation function, you must first activate the “Service Areas” option in the back office.

Steps to Activate “Service Areas”:

  1. Log in to the SalesPlay POS Back Office Webportal.
  2. Select Settings from the main menu.
  3. Go to the Feature tab.
  4. Toggle the Service Areas option ON.
  5. Click Save.

Once activated, the “Create Reservation” option will appear in the POS app’s main interface, accessible via the three-dot button. Before this, you need to create “Other Staff” profiles to manage reservations effectively.


Step 2: Create “Other Staff” in the Back Office

The “Other Staff” feature allows you to assign employees (like hairdressers, waiters, or sales assistants) to appointments or services. These staff members provide services but do not handle billing as their primary task.

Steps to Create “Other Staff”:

  1. Log in to the POS Back Office.
  2. Select Users from the main menu.
  3. Click on the Other Staff tab.
  4. Click the Create Other Staff button.
  5. Enter the name and details of the staff member.
  6. Choose their type from the dropdown menu (e.g., Hairdresser, Waiter, Salesperson). You can create a new type if necessary by selecting Create New Type.
  7. Click Save to confirm.

Once done, the staff member will appear in the dropdown when creating reservations.


Step 3: Create a Reservation or Booking for “Other Staff”

After setting up the “Other Staff” members, you can start taking reservations through the POS App.

Steps to Create a Reservation:

  1. Open the SalesPlay POS App.
  2. Select New Sale from the main menu.
  3. Click the three-dot button in the top-right corner.
  4. Choose Create Reservation.
  5. Select the services or items the customer wants and click Create Reservation.
  6. Add the customer to the reservation (either by selecting an existing customer or adding a new one).
  7. Assign the booking to a staff member by selecting the employee from the dropdown menu.
  8. Select a date by clicking on the calendar icon.
  9. Choose the relevant Other Staff member for the booking (e.g., Hairdresser).
  10. Choose the desired starting time and time slot for the reservation.
  11. Click Save to confirm the booking.

Examples of “Other Staff” Profiles:

  • In a salon: hairdressers, makeup artists, or therapists.
  • In a restaurant: waiters or servers.
  • In a retail store: sales assistants or floor staff.

Assigning staff to reservations helps track their performance and calculate any commission based on the services provided.

SalesPlay POS now includes an enhanced feature to alert you when external orders, such as those from your Web Store or QR Ordering, are received. The notification sound continues until the order is checked by the cashier or user, ensuring that no new order is missed.


To enable a notification sound for new external orders, follow these steps:

  1. Open the POS App Main Menu
  2. Navigate to Settings.
  3. Select Software Customization.
  4. Choose Set Order Notification Sound.
  5. Pick a sound from your POS terminal’s default sound files.

Once configured, this sound will play every time a new order is received and will continue until you navigate to the Open Orders section and review the NEW ORDERS.

What is QR Ordering System

A QR Ordering System is a digital solution integrated into a Point of Sale (POS) system that allows customers to browse and order items from a menu by scanning QR codes with their smartphones. Orders placed via QR codes integrate seamlessly into the POS system, providing real-time updates on order status and facilitating clear communication between customers and staff.

Example

In restaurants, owners can place QR codes on tables or near entrances. Customers scan the QR codes with their smartphones, view the menu, and place orders directly. These orders are sent to the restaurant’s POS app, allowing staff to prepare items efficiently.


How to Add QR Ordering

  1. Login to POS Back Office Web Portal.
  2. Select Settings from the main menu.
  3. Go to Feature.
  4. Tick ON QR Ordering / Web Store.
  5. Click Save.

(Once enabled, QR Ordering appears as a sub-menu in Settings.)

  1. Select QR Ordering / Web Store.
  2. Click Generate QR / Web Store.
  3. Select QR from the dropdown and enter a name.
  4. Select a Shop and add a Terminal.
  5. Add an Order Type if available.
  6. Select a Table if available.
  7. Select a QR size and click OK.
  8. Tick Collect customer information if needed.
  9. Click Save.

After saving, the QR code is generated with the option to download it via the 3-dot menu or download URL.


How to Process QR Orders in POS App

Step 1: Enable Open Orders Feature

  1. Login to POS Back Office Web Portal.
  2. Select Settings from the main menu.
  3. Go to Feature.
  4. Tick ON Open Orders.
  5. Click Save.

(Once enabled, Open Orders appear in POS App under the New Sale interface.)

Step 2: Process Orders in POS App

  • Open POS App main menu.
  • Select New Sale.
  • Click Open Orders section.
  • View QR Orders under New Orders.
  • Click the order and choose ACCEPT or REJECT.

Notes:

  • Accepted orders can be prepared and paid by clicking the payment icon.
  • Rejected orders allow adding a comment visible to the customer.

Order Notification Sound

SalesPlay POS now provides order notification sounds for QR Ordering. A sound plays when a new order arrives and continues until it is checked, ensuring orders are never missed.

SalesPlay POS now includes a Web Store feature, allowing businesses to showcase products on a dedicated URL. Customers can place orders online and include notes about delivery or payment preferences. These orders sync directly with the POS App, marked by a red dot in the Open Orders section.

POS users can review incoming orders and either accept or reject them. Rejected orders can include a reason for the customer, while accepted orders can be prepared for fulfillment, streamlining the management of online orders.


How to Create a Web Store

  1. Login to the POS Back Office Web Portal.
  2. Select Settings from the main menu.
  3. Go to Feature.
  4. Tick ON “QR Ordering”.
  5. Click Save.

(After enabling QR Ordering, it will appear as a sub-menu in the Settings section.)

  1. Select QR Ordering.
  2. Click Generate QR / Create Web Store.
  3. Choose a Web Store URL from the dropdown.
  4. Enter a name for the Web Store.
  5. Select a Shop and Terminal.
  6. Select an Order Type (if already created).
  7. Tick Collect customer information.
  8. Tick Accept payment online (if applicable).
  9. Keep the Status ON.
  10. Click Save.

Special Notes:

  • After saving, the Web Store URL is generated with an option to copy the URL.
  • Use the copy web store URL option to share it with customers.
  • The Web Store can now accept Gkash as an online payment method.

How to Process Web Store Orders in POS App

Step 1: Enable Open Orders Feature

  1. Login to the POS Back Office Web Portal.
  2. Select Settings from the main menu.
  3. Go to Feature.
  4. Tick ON “Open Orders”.
  5. Click Save.

(Once enabled, Open Orders will appear in the POS App under the New Sale interface.)

Step 2: Process Orders in POS App

  1. Open POS App main menu.
  2. Select New Sale.
  3. Click Open Orders.
  4. New orders are marked with a red icon.
  5. Review orders under New Orders.
  6. Click the order and choose ACCEPT or REJECT.
