SalesPlay Back Office

Charges

  • In certain businesses, it is customary to impose an extra fee on customers. For instance, restaurants may apply a “Service Charge” to dining customers. SalesPlay has the capability to manage these supplementary fees within the “Taxes/Charges” section.

There are three distinct types of charges that can be applied

  • Included in the Price: In this case, the charge is already factored into the listed price of a product or service. Customers do not see it as a separate item during checkout; it’s bundled into the overall price.
  • Added to the Price: This type of charge is added on top of the product or service price, and customers pay both the item’s cost and this additional charge during the checkout process.
  • Fixed Charge: Some businesses opt to include extra fees on customer bills. For example, restaurants may apply a “Delivery Fee” for delivery services. This fixed charge is a specific, set amount and is not calculated as a percentage of the order total, as in the other two types of charges mentioned above.

1.1 Login to POS Back Office > Select “Settings” from main menu > Go to the “Feature”

1.2 Tick ON “Taxes/Charges” button > Click “Save”

  • Once you ON “Taxes/Charges”, it will appear as a sub-menu in the Settings section

2. Select Taxes/Charges > Click “Add Taxes and Charges”

3. Select charge type from dropdown > Enter the charge name and value > Click status ON > Click “Save”

How to assign “Other Charges” to the “Order Types”

  • In certain businesses, various service options are offered to customers. For instance, in a restaurant, customers can choose from Dining, Takeaway, and Delivery options. Within the POS System, these options can be associated with a specific “Charge.” For example, when a customer selects the Dining option, the POS user should be able to designate it, and the system will automatically apply the corresponding Service Charge.

1. Login to POS Back Office > Select “Settings” from main menu > Go to the “Feature”

1.2 Tick ON “Order Types” button > Click “Save”

  • Once you ON “Order Types”, it will appear as a sub-menu in the Settings section

2. Select Order Types > Click on Delivery, Dine-in or Takeaway which you want to assign the “Charge”

3. Click status ON

4. Click the dropdown near “Attach tax & charges”

5. Tick ON the relevant taxes and charges > Click “Update”

Special Note

  • When it comes time to generate a receipt via the POS System, it’s essential to select the appropriate “Order Type” from the POS application, which will then be printed on the receipt.
  • If there are any additional charges associated with the selected order type, users need also assign those charges accordingly. Additionally, if any taxes apply to the products, they need be assigned as well.

SalesPlay POS supports integration with PAX and Wallee payment devices, enabling seamless card transactions directly through your POS system.

Step 1: Add Payment Gateway via Back Office

  1. Login to POS Back Office.
  2. Select Settings from the main menu.
  3. Go to Payment Types.
  4. Click Add Payment Type to create a new payment type.
  5. Tick Payment Gateway Enable.
  6. Select PAX or Wallee from the dropdown menu.
  7. Click Update to save.

💡 Ensure the payment device is connected to the same Wi-Fi network as the POS device.

Step 2.1: Configure PAX Terminal (A920)

  1. Open the Sierra App on your A920 terminal.
  2. Tap the Function tab and enter the password.
  3. Go to System Settings → scroll to the bottom → ECR-Terminal Integration Mode → change from Internal POS/Standalone to External POS.
  4. Go to Wi-Fi Settings, select your network, and enter password: pax9876@@.
  5. Note the terminal’s IP address for linking in POS.
  6. After setup, use the TYTS Application for processing payments.

Step 2.2: Link POS App and Payment Device

  1. Open POS App → main menu → Settings.
  2. Select Payment Gateway.
  3. Enter the payment device’s IP Address and Port.
  4. Enable the status toggle and click Save.

Step 3: How to Do a Transaction

  1. Open POS App → New Sale.
  2. Select the item(s) and click Charge.
  3. In the payment interface, select the correct payment type from the dropdown.
  4. Click Charge and tick the correct gateway.
  5. Customer completes payment by tapping, swiping, or entering card details on the terminal.

Special Note

The SalesPlay POS App currently supports PAX and Wallee devices only. For assistance with setup or adding other payment gateways, contact SalesPlay Support.

What is Negative Stock?

  • Allow Negative Stock: Sales continue even if inventory goes below zero. Useful for backorders or businesses that want to sell items before restocking.
  • Block Negative Stock: Sales are prevented when the stock reaches zero. Ensures accurate inventory tracking and avoids overselling.

Steps to Allow or Block Negative Stock

  1. Login to the POS Back Office Web Portal.
  2. Select Settings from the main menu.
  3. Go to Software Setup.
  4. To block negative stock, tick the Block negative stock option.
  5. Click Update to save your settings.

Once Block negative stock is enabled, items cannot be sold if their stock falls below zero.

SalesPlay POS allows you to continue billing even without an internet connection using Offline Mode. Offline receipts are stored safely on your device and can be synced to the Back Office once you’re back online.

Steps to Sync Offline Receipts

  1. Open the POS App.
  2. Go to the Main Menu.
  3. Select Manage Sales → Past Receipts.
  4. Identify Offline Receipts: Look for receipts with a small Offline icon on the left. These receipts are stored on your device but not yet synced to the Back Office.
  5. Connect to the Internet: Turn on Wi-Fi or ensure you have an active internet connection.
  6. Sync to the Cloud: Tap Sync Receipts to the Cloud. The Offline icon will disappear, confirming that the receipts have successfully synced to the Back Office.

Important Notes

  • Offline Mode supports only basic receipt processing. Some advanced functions require an internet connection.
  • Do not uninstall the app or clear its data while receipts are offline, as this may cause unsynced receipts to be lost permanently.
  • Once synced, your receipts will be available in the Back Office for reporting and record-keeping.

Introduction

The Customer Reservation feature in SalesPlay POS allows businesses to reserve customer services or orders in advance. This can be done via telephone, online, or any other method. For example, in a salon, this feature helps book a particular hairdresser for a client.

Back Office Setup

  1. Log in to the POS Back Office Webportal.
  2. Select Settings from the main menu.
  3. Go to the Feature section.
  4. Turn ON the Service Areas button.
  5. Click Save.

Note: Once Service Areas is enabled, the Create Reservation button will appear in the POS App under the three-dot dropdown menu. To access it, you must first create an Other Staff profile.

How to Create “Other Staff”

  1. Log in to POS Back Office.
  2. Select Users from the main menu.
  3. Go to Other Staff.
  4. Click Create Other Staff button.
  5. Enter the staff names and required details.
  6. Select a type from the dropdown menu. (You can create a new type by selecting Create New Type.)
  7. Click Save.

POS App Reservation Process

  1. Open the POS App and go to the main menu.
  2. Select New Sale.
  3. Click the three-dot button on the top-right corner.
  4. Click Create Reservation.
  5. Select the items or services the customer wants and click Create Reservation button.
  6. Add the customer by selecting an existing customer or adding a new one, then click Add to Order.
  7. Select an Employee from the dropdown menu.
  8. Select a date using the calendar icon.
  9. Choose the Other Staff name.
  10. Click the starting time, select a time slot, and confirm.
  11. Click Save to finalize the reservation.

Once completed, the reservation will be successfully added and viewable in the POS App.

What Is Email Notification?

The Email Notification feature in SalesPlay POS automatically generates and sends email alerts to designated recipients based on specific events or triggers. This helps you stay informed about important business activities.

You can receive notifications for the following events:

  • Daily Sales Summary: Get a report of your total sales at a specific time each day.
  • Low Stock Alert: Get notified when a product’s stock falls below a certain level.
  • Shift Report: Receive an email when an employee completes their shift.
  • Employee Login and Logout Alerts: Get alerts when an employee logs in or logs out of the POS system.
  • QR Ordering / Web Store Orders: Get notified when a customer places an order via QR Ordering or the Web Store.

How to Enable Email Notifications

To start receiving email notifications, enable this feature in the SalesPlay POS Back Office:

  1. Log in to SalesPlay POS Back Office.
  2. Click Settings in the main menu.
  3. Go to the Feature section.
  4. Turn ON the Notification Settings option.
  5. Click Save.
  6. Once enabled, a new Notification Settings section will appear in Settings.

Special Notes

  • You can add up to 5 email addresses for notifications.
  • Ensure you enter a valid email address to receive notifications correctly.
  • Select the correct time when setting up notifications to match your business needs.

How to Get Email Notifications for Specific Events

Login and Logout Alerts

  1. Log in to Back Office and navigate to Settings → Feature.
  2. Go to Notification Settings.
  3. Turn ON the Login Alerts and/or Logout Alerts option.
  4. Enter the email address to receive notifications.
  5. Click Update.

Daily Sales Summary

  1. Log in to Back Office and navigate to Settings → Feature.
  2. Go to Notification Settings.

What is QR Ordering, Web Store and Digital Menu ?

  • QR Ordering System
    The QR Ordering System is integrated into the Point of Sale (POS) system, offering a seamless and efficient way for customers to interact with item carts or menus. Learn More

    The POS System now includes a “Create Web Store” feature, enabling businesses to showcase their products on a dedicated URL. Customers can conveniently place orders through this web store, and the received orders seamlessly integrate with the POS App. Learn More
  • Digital Menu 
    The QR Code Digital Menu in the SalesPlay POS system refers to a solution that replaces traditional paper menus with a digital alternative.

Login to POS Back Office > Select “Integrations” from the main menu > Go to the “Apps”

Tick ON “QR Ordering / Web Store” button

  • Click “Save”

(Once you tick ON “QR Ordering”, it will appear as a sub-menu in the Integrations section)

Select QR Ordering and click “Generate QR/ Web Store”

Select a QR size and click OK button

  • Select a SHOP & Terminal and Click status ON
  • Click “Save”
QR will be generated with the option to COPY URL and Download the QR

How to Process QR Orders in POS App

First, you need to Tick On “Open Receipts (Bills)” in the FEATURE section in backoffice.

  1. Login to POS Back Office Webportal
  2. Select “ Settings ” from main menu
  3. Go to the “ Feature”
  4. Tick ON “Open Receipts (Bills)” button
  5. Click “ Save”

Once you ON “Open Receipts (Bills)”, it will appear on POS APP as “Open Bills” in new sales interface.

SalesPlay POS now offers an order notification sound feature, ensuring that external orders like “WEB STORE ORDER” or QR Ordering are never missed. A sound will play when a new order arrives and continue until the order is checked, helping cashiers and users stay on top of incoming orders efficiently. More 


Go to POS App main menu > Select “ New Sale ” > Click “Open Bills” section


Now you can see the QR orders

Click the QR order and select either ACCEPT or REJECT

  • Once you ACCEPT the order, the user can proceed with the payment by clicking the payment icon.

Web Store

Copy URL 

  • Login to POS Back Office Webportal 
  • Select “Settings” from the main menu 
  • Go to “Feature” 
  • Tick ON “QR Ordering” button 
  • Click “Save” 

!! Customer Information Requirement !! 

When creating a Web Store, the Customer Information section will always remain enabled by default. 

This section collects basic customer details such as Name and Contact Number when an order is placed. 

The Customer Information option cannot be disabled, as this information is required for: 

  • Identifying the customer who placed the order 
  • Contacting the customer if there are issues with the order 
  • Managing order records within the POS system 

Only the “Comment” field can be enabled or disabled based on your preference. 

If enabled, customers will be able to leave additional notes or instructions with their order. 

Click “Save” 

(Once you click “Save”, the Web Store URL will be generated with the option to COPY URL)

How to Create a Web Store
  • Login to POS Back Office Webportal
  • Select “Integrations” from the main menu
  • Go to the “Apps”
  • Tick ON “QR Ordering / Web store” button

Select QR Ordering > Click “Generate QR / Create WEB Store”
Select Web Store URL from dropdown
Enter name and select SHOP > Select a Terminal > Click status ON

How to Process Web Store Orders in POS App

Next to the Design Receipt section, click the More button to access additional receipt customization features.

3. Enable Space for Receipt Comment

  • Tick the Space for receipt comment option to allow cashiers to add special messages or notes on receipts.
  • Once enabled, users will see a “Receipt Note” field on the POS screen before printing. Enter the desired message using the on-screen keyboard. The comment will appear on the final printed receipt.

4. Enable QR Codes on Receipts

  • Tick the Print QR option.
  • Click Change to select the QR code mode:
  1. Receipt URL: Generates a QR code that directs customers to their digital receipt online.
  2. Customized URL: Generates a QR code linking to tailored content such as your website, promotions, loyalty programs, or customer surveys.

Click Save to apply your settings. The QR code will automatically print on customer receipts, enhancing engagement and providing quick access to important information.

Tip: Combine custom receipt comments with QR codes to provide personalized offers, feedback requests, or important updates directly on your receipts.

Customize your receipts for both paper and e-receipts in SalesPlay Back Office. You can add logos, header and footer text, and preview the receipt layout before saving.

1. Access the Receipt Design

Login to your SalesPlay POS Back Office:

  1. Select Settings from the main menu.
  2. Click on Design Receipt.

2. Select Relevant Shop(s)

Choose the shop or shops for which you want to design the receipt from the dropdown menu.

3. Receipt Logos

  • For the paper receipt, upload a black and white logo for best printing results.
  • For the e-receipt, you can use a color logo.

4. Enter Header and Footer Text

  • Enter the desired Header Text for your receipt.
  • Enter the Footer Text including contact info, slogan, or promotional message.
  • Click UPDATE to save your changes.

 

 

5. Preview Receipts

You can preview how your receipts will look:

  • Paper Receipt View:
  • E-Receipt View:

Tip: Regularly update your receipt design to reflect your brand identity, offers, or changes in contact information.
