Step-by-step

SalesPlay POS now supports Dynamic QR code generation for payment gateways. This allows customers to make payments (such as UPI) by scanning a QR code generated during checkout.

Enable Dynamic QR Function

Back Office Setup

  1. Go to the Back Office.
  2. Click on the menu icon (three lines) at the top left.
  3. Go to Features.
  4. Enable Payment Gateways and click Save.
  5. A new Payment Gateway section will appear.

Add Dynamic QR Payment Gateway

  1. Click Add Payment Gateway.
  2. Scroll down and select Dynamic QR.
  3. Fill in the required details:
    • Enter a valid URL (payment link).
    • Add UPI ID.
    • Enter Name.
    • Select Currency.
    • Choose the Target Terminal.
  4. Use the test option (if available) to check the QR before going live.
  5. Click Save.

Link to Payment Type

  1. Go to Payment Types in the Back Office.
  2. Select a payment type (e.g., Card).
  3. Scroll to Payment Gateway Enable.
  4. Select Dynamic QR.
  5. Click Update.

POS App Setup

  1. Open the POS App.
  2. Go to Settings.
  3. Tap the menu icon (three lines).
  4. Open Payment Gateway.
  5. You will see the created UPI Payment Gateway.
  6. Enable it using the toggle button.

How It Works (At Checkout)

  1. Create a new sale.
  2. Go to the Payment screen.
  3. Select the payment type (e.g., Card).
  4. QR code will appear on the screen.
  5. The customer scans the QR code and completes the payment.

Subscription to Employee management

  • In SalesPlay billing and subscription, the Employee Management module offers the capability to create employees (users and cashiers), oversee access rights, receive login alerts, and track sales on an employee-specific basis.The Employee Management add-on offers a 30-day free trial starting from your subscription date, with no need to provide card details upfront.Once your trial begins, the Subscriptions page will show the trial’s end date. To continue using the service post-trial, simply click the ‘Activate’ button and access the paid service.Payment is based on the number of employees created, and you can choose between monthly or annual billing.If you decide to cancel the trial, you’ll lose any saved settings for created employees, but your data will remain intact until you reactivate the features.

Employee Management Module Pricing Update

From September 9, 2025, SalesPlay has introduced global pricing for the Employee Management module.

Pricing (for new customers registered on/after September 9, 2025):

  • $4 USD / month
  • $40 USD / year (Save 16.7% compared to monthly plan)

Key Details:

  • Applicable to all countries (no country-wise differences).
  • Applies only to new customers registered after September 9, 2025.
  • Customers registered before this date will continue with their previous renewal pricing.

Steps

  1. Log in to the POS Back Office.
  2. Go to the “Settings” Section.
  3. Select ‘Billing & subscriptions.”
  4. Click the subscribe button next to the Employee Management
  5. Click “add employee.”
  6. Click Create Employee and fill in the details.
  7. Click Subscribe and proceed.

Gkash is a digital payment platform from Malaysia. SalesPlay POS supports Gkash for the Web Store (QR Ordering) feature. Currently, it is not available for normal billing or receipts.

This guide will walk you through the steps to set up Gkash to accept online payments through your Web Store.


Step 1: Set Up the Web Store

Before integrating Gkash, ensure the Web Store / QR Ordering feature is activated:

  • Click here to learn how to set up the Web Store.
  • After setup, make sure the Open Orders feature is turned on.

Step 2: Activate “Open Orders”

  1. Login to your Backoffice Web Portal
  2. Go to Settings
  3. Click on Features
  4. Tick the box for Open Orders
  5. Click Save

Step 3: Enable Payment Gateways

  1. Go to Settings
  2. Select Features
  3. Tick the box for Payment Gateways
  4. Click Save

Now you will see Payment Gateways in the Settings section with a “NEW” label.

Step 4: Add Gkash as a Payment Gateway

  1. Go to Settings > Payment Gateways
  2. Click Add Payment Gateway
  3. Select Gkash from the dropdown
  4. Enter your Merchant ID
  5. Enter the Secret Key / Signature Key
  6. Click Save

Step 5: Add Gkash as a Payment Type

  1. Go to Settings > Payment Types
  2. Click Add Payment Type
  3. Enter a name (e.g., Gkash Online)
  4. Tick Payment Gateway Enable
  5. Select Gkash as the payment gateway
  6. Go to Additional Options and tick QR/Web Store
  7. Click Save

Step 6: Create or Edit Your Web Store

  1. Go to Settings > Features
  2. Tick the box for QR/Web Store and click Save
  3. Now you’ll see QR/Web Store in the Settings section
  4. Click QR/Web Store
  5. Click Generate QR / Create Web Store
  6. Select Web Store URL from the dropdown
  7. Fill in the remaining details
  8. Tick the box for Accept Online Payment
  9. Select Gkash from the Ecommerce Payment Type dropdown
  10. Click Save

✅ If you already have a Web Store created, simply edit it, turn on Accept Online Payment, and select Gkash.

Step 7: Share the Web Store Link

Copy your Web Store URL and share it with your online customers. When customers add items to their cart and proceed to checkout, they will see Gkash as a payment option.

What is a Pre-Bill?

A Pre-Bill is a temporary or draft version of a sales receipt issued before finalizing the transaction. It allows staff to present the total amount to the customer before processing payment. The Pre-Bill includes all selected products and the total price but does not finalize the sale or generate a tax invoice.

Why is the Pre-Bill Function Useful?

The Pre-Bill feature is especially useful in businesses where payment involves multiple steps or verification. Key benefits include:

  • Provides customers with an estimated bill before payment
  • Helps businesses verify order details before finalizing
  • Enables smooth handover between staff (e.g., waiter to cashier)
  • Supports alternative currencies for tourist-friendly billing

Practical Use Cases

  1. Restaurant Scenario: When a customer finishes dining, the waiter generates a Pre-Bill and presents it. The customer provides cash or card, and the waiter forwards the details to the cashier, who creates the final bill.
  2. Pharmacy Scenario: A pharmacist generates a Pre-Bill for selected medicines. Once the order is ready, the customer takes it to the cashier to complete payment and receive the final receipt.

How to Generate a Pre-Bill

Follow these steps in the SalesPlay POS App:

  1. Open the POS App main menu
  2. Select New Sale
  3. Add the products or services the customer wishes to purchase
  4. Click the SAVE button to save the order
  5. Go to Open Orders
  6. Select the saved order
  7. Click the Print icon
  8. If the printer is connected, a Pre-Bill will be printed

⚠ Note: Pre-Bill is not a final invoice and cannot be used for official accounting or tax reporting.

Generating Pre-Bills in Alternative Currencies

SalesPlay supports multiple currencies, such as Euros, US Dollars, and Japanese Yen, allowing businesses to display totals in the customer’s preferred currency.

  1. Open the POS App main menu
  2. Select New Sale
  3. Add the desired items and click SAVE
  4. Go to Open Orders
  5. Select the relevant order and click the Print icon
  6. Choose the required currency from the dropdown list
  7. Click Print

✅ The Pre-Bill will be printed in the selected currency.

What is Custom Pricing?

Custom Pricing in SalesPlay POS is a special pricing option designed for businesses with five or more users/cashiers or five or more shops. This option provides a discounted pricing structure tailored to larger operations, helping businesses manage costs efficiently.

The SalesPlay team evaluates each request and determines the applicable discount based on the business’s specific requirements.

How Does Custom Pricing Work?

SalesPlay evaluates your business’s number of users or shops and provides a special discount based on your needs. The discount rate is determined after reviewing your request. Once approved:

  • The discounted price will be applied to your account.
  • Charges will be deducted accordingly.
  • Your custom pricing charges will appear as “Available Credits”, which can be used for Employee Management and Advanced Inventory add-ons.

How to Activate Custom Pricing

  1. Login to the POS Back Office Web Portal.
  2. Go to the Settings section.
  3. Select Billing & Subscriptions.
  4. Navigate to Custom Pricing.
  5. Click the Request button.
  6. Fill in the required details:
    • Expected Number of Shops
    • Expected Number of Employees
    • Contact Number
  7. Click Send.
  8. The SalesPlay team will review your request and approve or reject it.
  9. If approved, add your payment details and subscribe to the Custom Pricing plan.

Subscription Charges and Available Credits

After activation:

  • Your card will be charged, and the amount will appear under Subscription History Report as “Custom Price Monthly”.
  • The remaining balance will be shown in the Billing & Subscriptions section as:
    • Available Credits for Employee Management
    • Available Credits for Advanced Inventory
  • These credits can be used to activate or extend the Employee Management and Advanced Inventory add-ons.

Special Notes

  • Businesses must have five or more users or shops to be eligible.
  • The SalesPlay team determines the final discount rate.
  • If a request is rejected, businesses can continue with standard pricing.
  • Credits under Custom Pricing are non-refundable but can be used for subscription activation.

Surcharges, also called checkout fees, are additional charges applied to payments. SalesPlay POS allows users to enable or disable surcharges for different payment types directly from the Back Office Web Portal. You can set a specific percentage for each payment type to ensure accurate calculation of surcharges.

Example

If you want to apply a 3% surcharge for card payments, simply enable the surcharge option for card payments and set the percentage to 3%.


How to Add a Surcharge to a Payment Type

  1. Login to POS Back Office Web Portal.
  2. Select Settings from the main menu.
  3. Go to Payment Types.
  4. Click the relevant payment type.
  5. Click the drop-down button near Additional Options.
  6. Tick ON the Surcharge Enable button.
  7. Enter the desired Surcharge Value (%).
  8. Click Update to save the changes.

How to Get a Surcharge Report

  1. Login to POS Back Office Web Portal.
  2. Select Reports from the main menu.
  3. Go to Sales by Payment Types.
  4. Check the Surcharge Fee column.

Note: Once the report is generated, you can select a date range using the calendar. Click the Export button to download the report in CSV, PDF, or other available formats.

If a user needs to pay $10 to a supplier for new items, they withdraw the amount from the cash drawer using the POS system.


How It Works

  • Users can create and define specific reasons for each transaction.
  • Cash-related transactions such as supplier payments, staff wages, utility bills, donations, or other relevant expenses or income can be easily recorded.
  • The feature supports both pay-in and pay-out transactions.
  • At the end of a shift, users can perform a shift-end operation to tally the available cash balance and reconcile the cash drawer.
  • The POS system provides a summary of all transactions during the shift, helping identify discrepancies.

How to Activate and Perform Drawer Transactions

The Drawer Transactions feature enhances cash management by giving businesses a reliable tool to monitor and control cash-related activities.

Within Back Office

  1. Login to the SalesPlay POS Back Office Web Portal.
  2. Select Settings from the main menu.
  3. Go to the Feature section.
  4. Turn ON the Shift Management button and click Save.
  5. After enabling Shift Management, a new option Drawer Reasons will appear in the Settings section.
  6. Select the Drawer Reasons section.
  7. Click Add Drawer Reasons, enter the reason name, and click Save.

Within POS App

  • Open the POS App main menu.
  • Select Manage Sale.
  • Click Cash Management.
  • Select Drawer Reasons.

This feature streamlines the billing process and enhances customer experience by generating voucher codes that customers can use to make purchases.


Advantages of the Voucher Feature

  • Convenient Gifting: Easy to give gifts without choosing specific items.
  • Increased Sales: Recipients often spend more than the voucher’s value.
  • Customer Loyalty: Encourages repeat visits and fosters loyalty.
  • Marketing Tool: Attracts new customers through promotions and offers.

Practical Examples

Example 1: A textile shop creates a $100 voucher with a unique code. A customer buys it as a gift, and the recipient redeems it at checkout.

Example 2: A retail store launches a promotion giving customers a $10 voucher card. The cashier applies the voucher during checkout; if the purchase is $50, the remaining $40 is paid using another payment method.


How to Activate Voucher Feature

  1. Login to SalesPlay POS Back Office Web Portal.
  2. Select Settings from the main menu.
  3. Navigate to the Feature section.
  4. Turn ON the Vouchers button at the bottom of the list.
  5. Click Save. (Once enabled, Vouchers appear under the Promotions section.)

Setup Vouchers:

  1. Go to the main menu → PromotionsVouchers.
  2. Select Import Vouchers.
  3. Download the CSV template file and fill in voucher details.
  4. Upload the completed CSV by drag-and-drop or file selection.
  5. Click Upload and confirm the import.

How to Process Vouchers in POS App

  1. Open the POS App → main menu → New Sale.
  2. Select products the customer wishes to buy.
  3. Click Charge → select the Voucher payment option.
  4. Enter the voucher code → click OK.

Note: If the purchase exceeds the voucher value, use the multi-payment option to settle the remaining balance.


How to Check Voucher Code’s Status

  1. Login to the Back Office Web Portal → main menu → PromotionsVouchers.
  2. Click the Search field → enter the voucher code → press Enter/Search.

Details shown: voucher code, amount, status (available/redeemed), and if redeemed, the date and receipt number.


How to Sell Vouchers to Customers

  1. Open the POS App → main menu → New Sale.
  2. Go to categories → select Vouchers.
  3. Enter or scan the voucher code → click Add to Cart.
  4. Click Charge → select payment type → proceed.

Sold vouchers are tracked under Back Office → Promotions → Vouchers. Status changes from Available to Sold once purchased.


How to View Sold Vouchers Within POS App

  1. Open the POS App → main menu → Manage Sales.
  2. Go to Past Receipts → select Vouchers from the dropdown.
  3. All sold vouchers and transaction details are displayed.

Special Notes

  • If the purchase exceeds the voucher value, use multi-payment to settle the balance.
  • If the purchase is less than the voucher value, remaining balance cannot be redeemed again.
  • Voucher sales by payment type appear separately in the Shift Report, accessible from both POS App and Back Office Web Portal.

This guide explains how to securely add payment methods for subscriptions in SalesPlay POS.


Special Notes

  • To delete your card information entirely, use the My Profile section in the Back Office.
    Deleting your profile will permanently remove your data from both the Back Office and the POS App.

Adding Payment Method

  • All credit and debit card transactions for SalesPlay POS are securely handled by our payment gateway provider, Stripe. Card details are not stored for security purposes.
  • If your card is not accepted or you don’t have one, contact your bank first. Alternative payment options include PayPal or Wire Transfer. For assistance, contact our Help Center or email sales@salesplay.com.

Step 1: Login to POS Back Office & Navigate to Billing & Subscriptions

Log in to the SalesPlay POS Back Office, go to the Settings section, and select Billing & Subscriptions.


Step 2: Click “Add Payment Method”

Scroll down the page and click the Add Payment Method button to begin adding a new card.


Step 3: Enter Card Details

Enter your card information accurately and click Save.


Payments Activation for Subscriptions

  • After starting a trial, you can activate your subscription either immediately or at the end of the trial. Card details are required for activation.
  • Activating before the trial ends allows uninterrupted service. Your card will be charged, and an invoice issued at the trial’s conclusion.

This guide explains how to subscribe to the Advanced Inventory add-on in SalesPlay POS.


Subscription for Advanced Inventory

  • The Advanced Inventory module enables you to manage stock efficiently with features like:
    • Creating Purchase Orders (PO)
    • Generating Goods Receive Notes (GRN)
    • Accessing inventory history reports
    • Stock adjustments
    • Transfer of goods
    • Production management
    • Reports and printing labels
  • The add-on offers a 30-day free trial starting from your subscription date, with no card details required upfront.
  • During the trial, the Subscriptions page will show the trial’s end date. To continue after the trial, click the ‘Activate’ button.
  • Billing is based on the number of shops created, with options for monthly or annual charges.

Steps to Subscribe

  1. Log in to SalesPlay POS Back Office.
  2. Navigate to the Settings section.
  3. Select Billing & Subscriptions.
  4. Click the Subscribe button next to the Inventory Management module.
  5. Click Subscribe and follow the prompts to complete your subscription.
