Overview of Productions

The Production function in SalesPlay POS allows businesses to efficiently add finished goods to the inventory while managing raw materials and recipe stocks separately. By tracking raw materials and finished goods separately, businesses can streamline operations and maintain better inventory control.

Example

For example, to prepare chicken fried rice, each serving requires 100g of rice, 25g of chicken, and 10g of carrots. If you prepare 20 packets of fried rice, the Production feature allows you to record this quantity accurately in the system. This helps track raw material usage and maintain accurate finished goods inventory.

Benefits of Using Production Feature

  • Efficient Inventory Management: Track raw materials and finished goods separately to improve operations and inventory control.
  • Simplified Stock Addition: Easily add finished goods to the system, saving time and reducing manual effort.
  • Enhanced Production Planning: Visibility into raw materials and finished goods allows better planning for production schedules and quantities.

Steps to Utilize the Production Function

  1. Create Ingredient Products – individual items used in your finished goods.
  2. Create Composite Products – bundle ingredients into finished products.
  3. Enable the Production Feature in POS to manage inventory efficiently.

1. Create Ingredient Product

An Ingredient Product is an individual item or component used in making another product.

1.1 Login and Add Ingredient

Login to Back Office → Select Products from main menu → Go to Product list → Click Add Product

1.2 Enter Ingredient Details

  1. Enter the ingredient name.
  2. Select the correct measurement under “Sold by each”.
  3. Tick ON “Ingredient Product” under Additional options.
  4. Enter available stock quantity.
  5. Click Save.

2. Create a Composite Product

A composite product combines multiple ingredients or products into a single finished product.

2.1 Login and Add Composite Product

Login to Back Office → Select Products → Go to Product list → Click Add Product

2.2 Enter Composite Product Details

  1. Enter the composite product name.
  2. Tick ON “Composite Product” under Additional options.
  3. Tick ON “Use Production” if you want to maintain finished goods stock.
  4. Add component products one by one.
  5. Click Save.

(The regular unit cost is calculated based on the quantity and cost of all components.)

3. Use Production Feature / Add Finished Goods Stocks

  1. Login to Back Office → Select Inventory → Go to Productions → Click Add Production.
  2. Select the product from the dropdown.
  3. Enter stock/quantity and click Save.

4. Enable Production Feature for Already Created Composite Products

  1. Login to Back Office → Select Products → Go to Product list.
  2. Search and select the correct composite product.
  3. Tick ON “Use Production” under the composite product section.
  4. Click Update.

 

5. Disassembly Feature

The Disassembly function reverses the Production process, allowing you to break finished products back into their components:

  • Keeps accurate inventory of individual components.
  • Prevents stock discrepancies.
  • Example: A burger consists of bun, patty, tomato, and sauce. At day-end, leftover burgers can be disassembled to return ingredients back to stock accurately.

5.1 Steps for Disassembly

  1. Login to Back Office → Select Inventory → Go to Productions.
  2. Click the arrow button near Add Production.
  3. Select the product from dropdown, enter disassembly quantity, and click +.
  4. Click Save.

Overview

  • A Purchase Order (PO) is a document sent from a buyer to a supplier requesting products or services. It includes the PO number, product codes, names, quantities, and prices.
  • You can email the PO to the supplier, download it as a PDF, or print it directly from the system.

Step 1: Login and Access Inventory

  1. Login to the SalesPlay POS Back Office Web Portal.
  2. Select Inventory from the main menu.

 

Step 2: Open Purchase Order Module

  1. Go to Purchase Order (PO).
  2. Click Create Purchase Order.

Step 3: Enter Supplier Details

  1. Select an existing Supplier or create a new one.
  2. Enter the relevant order details including products, quantities, and prices.
  3. Click Create to finalize the Purchase Order.

Step 4: Print, Download, or Email PO

  • After clicking Create, you will be redirected to the Purchase Order page.
  • From there, you can Print, Download, or Email the PO directly to the supplier.

The Suppliers feature allows you to store information about vendors who supply goods to your business.
You can add details such as name, location, phone number, and email address.
Once added, supplier names will appear in the POS App during stock operations like

  4. Click Add Suppliers.

Notes

  • Suppliers added will appear in the POS App when performing GRN or Stock Adjustment actions.
  • You can edit supplier information anytime by selecting the supplier from the list.

What Is a Stock Adjustment?

Stock Adjustment allows you to edit stock records by increasing, decreasing,
or overriding product quantities. This feature helps you manage damages, losses,

Stock Adjustments can be performed through both the POS App and the

How to Perform Stock Adjustments via Back Office

  1. Log in to the SalesPlay POS Back Office Web Portal –

  2. Select Inventory from the main menu.
  3. Go to Stock Adjustments.
  4. Click Create Stock Adjustment.
  5. Select the adjustment type from the dropdown menu:
    • Reduce – Decrease stock quantity
    • Add – Increase stock quantity
    • Override – Replace existing quantity
  6. Select the relevant product.
  7. Enter the adjustment quantity.
  8. Click the ( + ) button to add it to the list.
  9. Click Adjust to complete the process.

  1. Log in to the SalesPlay POS Back Office:

  5. Select the FROM location and TO location.

  1. Open the SalesPlay POS App.

  5. Select the destination (TO) shop.
  6. Select the relevant product category.
  7. Select the product you want to transfer.
  8. Enter the transfer quantity.
  9. Tap Add to List.
  10. Tap View List to review items.
  11. Tap Save to complete the transfer.

Important Note

Before performing a Transfer of Goods, ensure that the product exists
and is active in both the source (FROM) and destination (TO) locations.
If the product is disabled in either location, enable it first by editing
the product details before proceeding with the transfer.

  • The Email Notification feature in SalesPlay POS allows you to receive alerts when products reach low stock or negative stock levels.
  • This helps you reorder products on time and avoid stock shortages.
  • To receive low stock alerts, you must set a Safety Stock level for each product.

How to Activate Email Notifications

  1. Log in to the SalesPlay POS Back Office.
  2. Click on Settings from the main menu.
  3. Go to the Feature section.
  4. Turn ON the Notification Settings option.
  5. Click Save.
  6. Once enabled, a new Notification Settings section will appear under Settings.

How to Enable Low Stock Email Notifications

  1. Log in to Back Office and navigate to Settings.
  2. Go to the Feature section.
  3. Open Notification Settings.
  4. Turn ON the Low Stock Notification option.
  5. Select your preferred notification time.
  6. Enter the email address(es) to receive alerts.
  7. Click Update.

Important Notes

  • You can add up to 5 email addresses for notifications.
  • Make sure the email addresses entered are valid.
  • Select a notification time that matches your business operating hours.

  • Once the items from your Purchase Order are received, you can easily add stock using the GRN feature.

Steps to Create GRN from Purchase Order (PO)

  1. Log in to the SalesPlay POS Back Office Web Portal.
  2. Select Inventory from the main menu.
  3. Go to the Purchase Orders (PO) section.
  4. Click on the relevant PO number.
  5. Click the Create GRN button.
  6. Review the details and adjust the quantity if necessary.
  7. Click the Create button to confirm.

Note:

  • You can modify the quantity if there are any changes from the original PO quantity.
  • Once you click Create, the new GRN stock will be automatically added to inventory.

What is Add Stocks – Goods Received Notes (GRN)?

  • Managing inventory is a very important function of any business.
    Inventory (Stock) refers to the quantity of a particular product available for sale.
    SalesPlay POS provides inventory tracking and analytical reports.
  • Using these reports, users can identify products that are running out of stock,
    monitor available inventory, and view the history of inventory movements.
  • Stocks can be added quickly through a few simple steps.
    Stocks can be added via the POS App or the Back Office Web Portal.
    Businesses with large stock quantities can use the Bulk Stock Upload option.
  • Note: The product’s Stock Control option must be turned ON in order to add stocks.

How to Add Stocks (GRN) via POS App

  1. Open the POS app.
  2. Go to Menu and click Inventory.
  3. Select Goods Received Note.
  4. Click Create GRN.
  5. Fill in the required details.
  6. Click ADD TO LIST, then VIEW LIST.
  7. Click Save to submit the GRN.

How to Add Stocks (GRN) via Back Office

  1. Log in to the SalesPlay POS Back Office Web Portal –
    cloud.salesplaypos.com
  2. Select Inventory from the main menu.
  3. Go to Goods Received Notes.
  4. Click Create GRN.

  6. Enter the GRN quantity.
  7. Click the (+) button.

What Is a Purchase Return Note (PRN)?

A Purchase Return Note (PRN) is a formal record used to return products to a supplier.

It ensures that:

  • Stock levels are correctly reduced.
  • Supplier return transactions are properly documented.
  • Your purchase and inventory history remain clear and traceable.

When to Use a PRN

  • Damaged or defective items
  • Expired stock
  • Excess or incorrect quantity
  • Supplier agreement for return

How to Create a Purchase Return Note

Follow these steps to create and manage a PRN:

  1. Log in to the SalesPlay POS Back Office.
  2. Click Inventory from the left-side navigation menu.
  3. Select Purchase Return Note (PRN).
  4. Click Create Purchase Return Note to start a new return.
  5. Choose the Shop/Branch where the return is being processed.
